Assign packs to your patients

When you have packs turned on, you decide which pack each patient gets. Nobody gets one on their own: a patient only has a pack if you assign it. There are two ways to do it: from the booking link in the patient’s record, or from the calendar when you book an appointment. A third one, from the widget on your website, we’ll explain in its own section.

In short

If you don’t assign a pack, the patient can only book single sessions at the price of your modality and your catalogue. To give them a pack, assign it from the record (in the booking link) or from the calendar. After that, each session with a pack uses up one of its sessions until the pack runs out.

Without a pack, the patient books single sessions

Open the patient’s record and find the Booking link block. If they have no pack assigned, you’ll see Pack to offer: None (single session). In that case the patient only sees single sessions at the price of your modality and your catalogue.

Choose the pack you offer

Under Pack to offer you’ll see your active packs, with their number of sessions and their price. Pick the one you want to give. The patient will only see that pack.

Only the packs you have active appear.

Decide whether they pay for the pack and whether it needs a PIN

With the pack chosen, you have two more options:

  • Payment mode: with Full price, the patient pays the whole pack when booking the first appointment; the following ones they don’t pay for. With No charge, they don’t pay for the pack when booking.
  • Require access PIN: if you tick it, the patient creates a 4-digit PIN the first time they open the link.

Send them the link

Click Send by email or Copy link and send it to the patient. If you change the pack or the payment mode, send the link again so they see the update.

Check the pack in the record

When the patient starts using the pack, the Session packs block appears in their record. Each pack shows:

  • Its status: active while it still has sessions, or used up when it has none left.
  • Whether it is Paid and with which method (for example, Card or Bizum).
  • The sessions left, the expiry date and its price, with the Invoice button.

Or assign it from the calendar

When you book an appointment, under How it’s paid choose Single session or With pack. If the patient has no active packs, you’ll see it indicated; if they have some, you can pick one in the Assign a pack dropdown.

Add session with Single session selected under How it's paid
Single session: charged according to the modality and price.
Add session with With pack selected and the notice that the patient has no active packs
With pack: if the patient has no active packs, pick one here to assign it.

Assign the pack and book the session

Pick the pack and click Assign pack to patient. The pack is left pending payment: you can charge it through Stripe or another method from the patient’s record. Until it’s paid, the appointment doesn’t use up any session.

Once it’s assigned, the pack appears in the dropdown as Covered by the pack — not charged separately. Click Book session.

Add session with With pack selected, the Terapia Individual pack chosen and the Assign pack to patient button
Assign the pack and then book the session.
Add session with the pack assigned, 3 sessions left, pending payment, and the modality the pack applies
Once assigned, the session is covered by the pack.

Each session uses up one of the pack's sessions

Until the pack runs out, each appointment with a pack uses up one session. In the appointment details you can see the payment status and the pack with its sessions left, for example 2/3 sessions left.

If you flip the Payment switch, you mark the whole pack as paid and all its appointments become paid.

When it runs out, assign it again

When the pack changes to used up, assign it to the patient again from the record or from the calendar, and send them the link again. That way every assignment is your decision: if you change the price or the pack, or you don’t want a patient to use packs, simply don’t assign one. When the pack runs out, the previous link stops working.

You decide every assignment

Packs don’t switch on for the patient by themselves. Only the patients you assign a pack to get one, when you want and at the price you choose.

You and your patient each receive an email

When the patient books this way, both you and your patient receive an email: yours tells you an appointment has been booked, and theirs tells them their appointment has been booked successfully.

When a link stops working

If the link is for a pack, it’s invalidated when the pack runs out: the patient can no longer use it to book. To keep going, assign them another pack and send them a new link.

If the link is for a single session, it isn’t invalidated on its own: it keeps working until you press Regenerate link.

Careful with unfinished payments

If the patient starts paying with Stripe and doesn’t complete it (they leave the page or leave it open without finishing), Stripe holds that slot for 30 minutes in case they come back to finish booking. During those 30 minutes the slot doesn’t appear as available in the calendar, even though the payment wasn’t completed successfully.
